Each year, the Sydney Food & Wine Fair supports the AIDS Trust of Australia by raising the visibility of HIV and by raising funds for its work as a charity.

The SF&WF is not a commercial event. It’s a big, complex charitable fundraiser made possible by the extraordinary generousity and enthusiasm of Stallholders, Volunteers, Sponsors, Entertainers, Suppliers and of course Patrons. Without them all, there would be nothing. With them we are now preparing to celebrate 21 remarkable years of giving!

Indeed, from the hearts of Sydney’s food industry 21 years ago has grown an expression of giving large enough to fill Hyde Park North. We’re so grateful.

Here’s how it all works…

Stallholders donate food and beverages that Patrons exchange for coupons. We sell the coupons to Patrons. Sponsors contribute in kind or in cash to assist with the cost of the event infrastructure. Entertainers and Stallholder staff contribute their time and talents to serve Patrons. Our Suppliers provide the entire event infrastructure on significantly discounted terms. Our beloved band of 150 Volunteers deploys over three days to put it all together, make it run smoothly and then remove it all again – quite an operation.

We have assembled some details below to guide you through what’s involved as a Stallholder and to assist you with Registration. Hyde Park North is very beautiful and very special. We tread lightly. Therefore we can only comfortably accommodate 100 individual stalls. Your early expression of interest will be both warmly welcomed and sincerely appreciated. Thank you.

We ask Stallholders to Donate...
  • Food stalls - a minimum of 500 entrée-sized portions of a signature dish or dessert per stall.
  • Wine stalls - a minimum of 15 cases of wine per stall.
  • Beer and soft drink stalls – a minimum of 60 cases per stall.
  • Coffee stalls – a minimum of 1000 portions, coffee machine, recyclable cups, milk and sugar.
We realise that 500 portions or 15 cases of wine are huge requests. However the success of the event depends entirely upon the amounts pledged being honoured. Your generousity, cooperation and understanding in this matter is greatly appreciated.

We Provide the Stallholders with...
  • A fête stall measuring 2.4m x 2.4m
  • Generic stall signage
  • Plates, cutlery, napkins and plastic drink ware
  • Shared washing up and hand washing facilities
  • Ice and ice tubs if required
  • Shared cool room storage space
  • Garbage, waste and recyclables removal
  • General event security
  • First aid facilities

We also provide for those stalls wishing to cook on site…

  • A flat-top BBQ
  • Gas ring burners and gas bottles

Power for coffee machines and other services is available upon request.

There are three steps to Register as a Stallholder
  • Download and read the City of Sydney’s “Requirements for the Operation of a Temporary Food Stall” form please click here.
  • Register online to participate as a Stallholder in the Sydney Food & Wine Fair please click here. Please confirm that you have read the above document as part of the online registration process.
  • Download, read, complete and fax or email back to us the City of Sydney’s “Temporary Food Stall Details” form please click here. This form is far easier than it appears at first glance.
    • In Part 2, Type of Stall please answer “2.4m x 2.4m fête stall”
    • Please ignore the fee component at the bottom of page 1 of this document. There is no fee payable.

In Part 3, Equipment Details Used at Event please simply answer “Responsibility of the Organiser” in each of the 6 cells.

Please note that the absolute deadline for Stallholder Registration is Friday 30 September 2011. We’d love to hear from you well before deadline!



More Information
  • Entry to Hyde Park North is free
  • No fees are payable by Stallholders in respect of the event
  • National AIDS Fundraising Limited as Sole Trustee for the AIDS Trust of Australia operates the event for and on behalf of the AIDS Trust of Australia and is the responsible entity
  • Stallholders will receive their stall location, event and access information one week prior to the event
  • Stallholders must abide by the City of Sydney Health and Hygiene requirements
  • A detailed site map indicating the location of stalls, services and facilities will be distributed to Patrons attending the event
  • Vehicles may enter the park to drop off supplies provided they immediately leave once deliveries have been completed.
  • Please don’t drive on the grassed areas anywhere
  • Parking is available at Cook & Phillip Park near St Mary’s Cathedral, or the Domain Car Park.
  • Stallholders are most welcome and encouraged to enhance their stalls with appropriate decoration
  • Transactions are made using multiples of $4.00 coupons
    • Main courses = 4 coupons
    • Entrées, Desserts or Champagne = 3 coupons
    • Snacks, Wine & Beer = 2 coupons
    • Coffee, Soft Drinks & Water = 1 coupon
  • Coupons are purchased from booths operated by us
  • A sheet of 5 coupons is sold for $20.00
  • Each Stallholder is allocated a container for coupon collection
  • Full EFTPOS facilities are available throughout the event
  • Please ensure that coupons are collected and stored so reuse is not possible
  • Music and entertainment is provided throughout the day. Individual sound systems are not permitted
  • Food stalls may consider approaching their suppliers for a few cases of an appropriately matched wine to enhance their offering
  • A secure compound is set up to provide refrigeration of bulk beverages.
  • Cool rooms suitable for food storage are supplied within 5m of food stalls
  • The event commences at 11.30am. Stallholders may pack down and leave the park when sold out. Because Patrons are present in the park at this time, any equipment brought to the event by a Stallholder must be carried to the edge of the Park for collection.
  • No vehicular access is possible once the event is under way
  • Volunteers will offer their services to assist and support Stallholders with the unloading of equipment and the delivery of supplies to stalls
  • We acknowledge the generousity of our Stallholders, Suppliers, Sponsors, Entertainers, Volunteers and Supporters in a “Thank You” placement in the Sydney Morning Herald during November
